Description
Aspen Medical is seeking qualified and experienced candidates for the position of Procurement Assistant. As a Procurement Assistant, you will play a crucial role in ensuring the seamless procurement of food items, general domestic supplies, medical and maintenance items essential for the efficient functioning of our facilities. You will be responsible for supporting the procurement process from requisition to delivery, emphasizing transparent processes and meticulous documentation control to uphold quality standards and compliance.
The roles and responsibilities of this position include:
- Collaborate with department heads to identify procurement needs for food items, general domestic supplies, medical and maintenance items.
- Assist in the preparation of procurement requests, ensuring accuracy and completeness of specifications and requirements.
- Research and identify potential vendors for required items, focusing on quality, reliability, and cost-effectiveness.
- Communicate with vendors to obtain quotes, negotiate pricing, and establish delivery schedules.
- Maintain a database of approved vendors, evaluating their performance regularly.
- Generate and process purchase orders accurately and promptly, adhering to established procurement policies and procedures.
- Monitor purchase orders to ensure timely delivery of goods and services, resolving any discrepancies or delays as needed.
- Ensure compliance with hospital policies, regulations, and industry standards throughout the procurement process.
- Maintain transparent and well-organized documentation of procurement activities, including contracts, agreements, and correspondence.
- Assist in preparing reports and presentations related to procurement performance, budget utilization, and cost-saving initiatives.
- Identify opportunities to streamline procurement processes, enhance efficiency, and reduce costs without compromising quality or compliance.
- Collaborate with stakeholders to implement improvements, incorporating feedback and best practices.
Experience and Qualifications Required
- Diploma in Business Management, Procurement, Supply Chain Management, or related field preferred.
- At least 2-3 years of procurement experience
- Demonstrate ability to acquire on the job the skill quickly.
- Have some knowledge or understanding of Procurement Softwares.
- Demonstrated ability to effectively work within a team environment.
- Must possess sound analytical and problem-solving skills in resource-constrained environment.
- Good computer skills.
- Service oriented approach, with a commitment supporting the operational and corporate environment of the organization.
- Ability to relate to people from different backgrounds and cultures in a courteous manner.
- Demonstrated the ability to maintain confidentiality and neutrality, in a sensitive environment.
