Description

Aspen Medical is seeking qualified and experienced candidates for the position of Procurement Officer. The Procurement Coordinator is responsible for coordinating procurement activities, ensuring timely and cost-effective sourcing of goods and services in compliance with organizational policies. The role supports supplier engagement, contract management, and process improvement to contribute to operational efficiency and value for money.

The roles and responsibilities of this position include:

  • Coordinate the procurement of goods and services in line with approved policies and procedures.
  • Raise, review, and process purchase requisitions and purchase orders.
  • Liaise with suppliers to obtain quotations, negotiate pricing, and ensure timely delivery.
  • Monitor and track procurement requests to ensure timely fulfillment.
  • Maintain accurate procurement records and documentation, including supplier information, purchase orders, and delivery notes.
  • Support contract administration and assist with managing supplier performance.
  • Collaborate with internal stakeholders to clarify specifications and delivery requirements.
  • Assist with tender and quotation processes as required.
  • Ensure compliance with financial and procurement regulations.
  • Identify opportunities for cost savings and process improvements.
  • Communicate and arrange meeting with Procurement team on orders placed and expected.
  • Participate in the development of a safe and healthy workplace and comply with instructions given in adhering to safe work procedures.
  • Take reasonable care to ensure own safety and health and that of others and to abide by our duty of care provided for in the OHS policy.
  • Any other reasonable duties delegated by management.

 

 

Experience and Qualifications Required

Essential

  • Diploma or Degree in Procurement or a combination of Business Administration and Management or a related field
  • Professional certification and membership to a reputable procurement and supplies body is highly desirable.
  • Minimum 5-7 years procurement experience, preferably in a health-related project, and including service procurements.
  • Strong leadership, analytical and organisational skills; demonstrated ability to work both independently and within a team, assess priorities, and manage multiple activities with attention to detail, meeting tight deadlines under pressure.
  • Excellent problem-solving capacity, with demonstrated ability for considerable analysis and sound judgment to find solutions in a complex environment with shifting and competing priorities.
  • Excellent communication (both oral and written) and interpersonal skills demonstrated by ability to interact professionally with team members stakeholders, clients and consultants.
  • Advanced computer skills including proficiency in Microsoft Office programs (Excel spreadsheets, word processing, power point, and electronic mail).

Desired

  • Experience in a regulated industry (e.g., healthcare, government).
  • Familiarity with tendering processes and procurement compliance frameworks.
