Aspen Medical is seeking qualified and experienced candidates for the position of Clinical Coding Liaison Officer. This role plays a key role in ensuring the accuracy, integrity, and timeliness of clinical coding within an integrated Patient Management and Coding System environment. This position acts as the central liaison between clinicians, the clinical coding team, and clinical information systems by supporting high-quality clinical documentation, resolving data integrity issues, and ensuring coding can proceed without system-related delays.
Due to the integration of systems, this role holds administrative authority to identify, correct, and resolve data errors originating in the Patient Management System that flow through to the Coding Platform, enabling accurate and timely coding outcomes.
To accomplish the key outcome of this role, the Officer must demonstrate a collaborative approach, working with the Coders, Clinicians, Manager Clinical Coding, Director Medical Services, and the Chief Financial Officer, ensuring that through his liaison, all advice conveyed to clinicians and executed on coding and government contract matters in relation to patient episodes is accurate.
The roles and responsibilities of this position include:
Clinical Liaison & Documentation Support:
- Act as the primary point of contact between the Clinical Coding Unit and clinical departments.
- Clarify clinical documentation and terminology to support accurate and complete code assignment.
- Identify documentation gaps, inconsistencies, or ambiguities and follow up with clinicians to ensure accuracy.
- Facilitate education sessions, feedback forums, and targeted communication with clinicians regarding documentation and coding requirements.
- Promote best practices in clinical documentation across departments.
Coding & Data Quality Support:
- Provide support to the clinical coding team with complex coding and documentation queries.
- Assist in resolving discrepancies between documented care and coded data.
- Participate in internal audits to assess documentation quality, coding accuracy, and data integrity.
- Monitor trends, recurring issues, and inconsistencies in documentation and coded data, providing feedback to clinicians and coders.
- Support data validation activities for reporting, audit, and funding purposes.
System Administration & Data Correction:
- Monitor data flow between the Patient Management System and the Coding Platform to identify system-related input errors.
- Hold administrative rights to correct and update patient data within the Coding Platform where errors originate from the Patient Management System.
- Act as the sole authorised role responsible for correcting system data to maintain governance, auditability, and data integrity.
- Receive and assess system-related error flags raised by clinical coders and take corrective action to enable coding to proceed.
- Escalate recurring system or data quality issues to relevant stakeholders for root cause analysis and process improvement.
Professional & Compliance Responsibilities:
- Maintain up-to-date knowledge of coding standards (e.g. ICD-10-CM/PCS, APR-DRG, MS-DRG), clinical terminology, and relevant health policies.
- Contribute to training initiatives for clinical coders and clinical staff.
- Maintain confidentiality, data privacy, and compliance with organisational policies.
- Participate in the development of a safe and healthy workplace and comply with all OHS requirements.
- Take reasonable care for personal safety and the safety of others in accordance with duty of care obligations.
- Undertake other reasonable duties as delegated by management.
- Ability to solve or recommend solutions for complex problems.
- Excellent communication skills and confidentiality to clinical data.
Experience and Qualifications Required
- Diploma or Degree in Health Information Management, Clinical Coding, or IT related field.
- Strong understanding of medical terminology and anatomy.
- High level of attention to details
- Able to work well with minimal supervision.
- Able to communicate clearly both written and verbally.
- Able to generate reports for management review that present audit results in a clear manner.
- Able to meet deadlines and respond well to frequent changes in regulation.
- Able to maintain positive and productive relationships with internal and external teams and customers.
- Able to work independently and be a self-starter
- Experienced in hospital setting with use of EMR
Desirable
- Previous work in a hospital setting.
