Aspen Medical is seeking qualified and experienced candidates for the position of Legal Assistant. The Legal Assistant will provide administrative and legal support to the Legal Counsel, ensuring the efficient handling of legal documents, correspondence, case files, and compliance-related tasks. This role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced legal environment.

The roles and responsibilities of this position include:

  • Provide administrative and secretarial support for the efficient day to day management of the Office.
  • Conduct thorough legal research and gather relevant case information.
  • Assist in drafting, formatting and proofreading legal documents, contracts, and agreements.
  • Assist in scheduling meetings, appointments and court proceedings for the legal counsel.
  • Liaise with external legal firms, government agencies, and other stakeholders as required.
  • Prepares meeting folders for the Legal Counsel and undertake record-keeping, indexing of documents, filing and ensuring official & confidential documents are property stored and easily retrievable when required.
  • Maintain confidentiality and handle sensitive information with utmost professionalism.
  • Participate in the development of a safe and healthy workplace and comply with instructions given in adhering to safe work procedures.
  • Take reasonable care to ensure own safety and health and that of others and to abide by our duty of care provided for in the OHS policy.
  • Any other reasonable duties delegated by management.

 

Experience and Qualifications Required

  • Successful completion of a Diploma in Office/Business Administration/Public Administration
  • At least 2 years of experience working in a field of law
  • High proficiency with Microsoft Office applications and demonstrated computer skills
  • Understanding of the Fijian Constitutional and applicable laws of Fiji
  • Working knowledge of personal administration functions, policies, practices and objectives.
  • Excellent written and verbal communication skills
  • Ability to prioritise, complete work accurately in a timely manner
  • Demonstrated ability to maintain confidentiality and neutrality in a sensitive environment
  • Ability to work autonomously and as part of a team
  • Good organizational and multitasking skills, with strong attention to detail
